1. website and online presence

Your online presence is crucial for attracting new clients and establishing credibility. With user-friendly website builders like WordPress, Wix, or Squarespace, you can create a professional website showcasing your services, qualifications, and client testimonials. Don't forget to harness the power of social media platforms such as Facebook, Instagram, and TikTok to promote your services and engage with potential clients.

A simple website, with your professional information, can be a foundation of trust. However, if you're planning to publish new, original, written content consistently, you'll want a structured system of organization, search engine optimization (SEO), and function so that your efforts in building it will be rewarded with organic traffic and returning visitors.

We designed this website using Solo Build It! (SBI!).

2. client management and scheduling

Efficient client management and scheduling are essential for streamlining your business. Tools like Calendly, Acuity Scheduling, and Mindbody allow clients to book sessions online, while CRM systems like HubSpot or Salesforce help you manage client information, track interactions, and send automated reminders or follow-ups.

While some of the above-mentioned resources are singular in their focus, others may have an overlap of features. It's important to do your research on each, so that you don't overwhelm your tech stack, or drain your wallet, by investing in 2 or more platforms where 1 could have done gotten the job done.

We use HubSpot, specifically for contact form follow-up and sales pipeline organization.

3. payment processing

Collecting payments should be hassle-free. Integrate payment gateways like Stripe, PayPal, or Square into your website to accept online payments for your services securely.

While you may have a preferred, or priority, payment processor, you may find that some of the services you select will have their own, built-in processing. Sometimes, this will require additional registration and agreement on your part. Be mindful of processing fees, and make comparisons from one tool to the next to inform your selection decisions.

As an example, where ConvertKit is our preferred lead generation and email broadcast provider, their e-commerce solution that allows us to sell digital products is powered by Stripe.

4. lead generation and marketing

Growing your client base requires a strategic approach. Email marketing platforms like Mailchimp or ConvertKit can help you build and engage with your client list. To improve your visibility in local search results, optimize your website for search engines using Search Engine Optimization (SEO) techniques. Additionally, consider online advertising platforms like Google Ads and Facebook Ads to reach potential clients in your target demographic.

A favorite feature of ours in ConvertKit is their diverse selection of Landing Page templates. Want to test your design chops?

5. training and nutrition apps

To provide a personalized fitness experience, you can utilize fitness and nutrition tracking apps to monitor clients' progress and offer tailored recommendations.

6. video conferencing and virtual training

In today's digital world, virtual training sessions are a must. Platforms like Zoom can facilitate remote training sessions, allowing you to work with clients regardless of their location.

Co-founder perspective:

  • "Having used Google Meet, Zoom, Microsoft Teams, and others, I'm partial to Google Meet for most meetings, and Circle's options for video meetings inside of communities using their platform." - David Bohmiller

7. client assessment tools

Assessing your clients' progress and setting achievable goals is essential for their success. Utilize fitness assessment apps or software to track clients' progress and adjust their training plans accordingly.

Some of us can remember when assessments and progress checks were completed with pen, paper, and an actual calculator in-hand (not the calculator app on our phones today!). Then, those going the extra mile for clients in presentation quality, figured out how to use Microsoft Excel or Google Sheets to create visually-appealing charts and graphs.

As technology advances, and trainers will be able to draw insight, recognize trends, and adjust fitness programming for their clients based on the info that can be drawn from resources like Garmin, Strava, and WHOOP.

8. content creation tools

Creating engaging content is crucial for marketing your services. Video editing software like Adobe Premiere Pro or Final Cut Pro can help you produce professional fitness videos. For eye-catching visual content on social media and your website, consider using graphic design tools like Canva.

For those technologically-challenged, and who see the value in outsourcing tasks that would be time-consuming or just not enjoyable to you, sites like Fiverr can help you find quality freelancers to bring your vision to life.

9. analytics and reporting

To measure the success of your website and marketing efforts, implement tools like Google Analytics. These tools provide insights into website traffic and enable you to assess client progress and adjust training plans accordingly.

For EpicenterTraining.com, we use the traffic stats feature that's built into Solo Build It! (SBI!). If you're planning any sort of paid advertising, especially through Google, it's reasonable to align those efforts with use of Google Analytics.

One other area that we pay close attention to is the performance of our forms and landing pages. Through ConvertKit and its dashboard, we're able to track:

  • # of Visitors
  • # of Subscribers
  • Conversion Rate %

In doing so, we're able to adjust our efforts, focusing on driving additional traffic to high-performing assets, and eliminating or updating those that have been less productive.

10. legal and financial software

Managing your finances and legal obligations is essential for running a successful business. Accounting software like QuickBooks or Xero can help you stay on top of your business finances. Legal document management software is crucial for handling contracts, waivers, and other legal paperwork.

Given the sensitive nature of each of these, it's critical to work with your accountant, lawyer, or other qualified professionals, who will be intimately familiar with your unique goals and needs, and can help guide appropriate decision-making.

11. security and privacy

Ensuring the security of client data, especially sensitive information like health records, should be a top priority. Be sure to have the necessary security measures in place.

When selecting security and privacy software for personal trainers, become familiar with how information is stored and protected. Where you have the ability to adjust access permissions, it's helpful to set a regularly-scheduled reminder in your calendar to review and update these settings.

12. e-commerce

If you plan to sell merchandise, supplements, or training plans online, consider setting up an e-commerce platform on your website or using platforms like Shopify.

ConvertKit Commerce Rectangle

Where possible, it's helpful to select all-in-one solutions, or those that combine the features of providers you're considering. The fewer items, or suppliers, you have to manage, the more clear your mind, and calendar, will be to focus on your priority areas.

13. communication and feedback

Maintaining open communication with your clients is vital. Utilize email or chat platforms to engage with clients regularly and gather their feedback, which can help improve your services, prospect and client satisfaction, and thus your new sales and retention.

Whatever software for personal trainers you choose in this area, keep in mind that your responsiveness is as important, if not more so.
